AP and Payroll Specialist
Join our corporate and finance team at the company headquarters in Ottawa
As a member of the Finance team, the Accounts Payable and Payroll Specialist is primarily responsible for accounts payable and payroll administration. This role works closely with the Corporate Controller to ensure accounting records are accurately maintained, financial data is updated in a timely manner, and month-end close activities are completed efficiently and accurately.

Responsibilities
Accounts Payable- Process accounts payable invoices, including both PO and non-PO invoices.
- Prepare cheque runs and electronic payments.
- Set up, maintain, and reconcile vendor accounts.
- Advise management of cash requirements related to vendor payments.
- Respond to vendor inquiries and accounts payable-related calls.
- Perform monthly HST reconciliations and prepare remittances.
- Track, record, and reconcile intercompany transactions and related journal entries.
- Reconcile general ledger accounts.
- Reconcile corporate credit card statements for Canadian and U.S. operations.
- Review, verify, process, and reimburse employee expense reports.
- Perform bank reconciliations.
- Review and approve purchase requisitions.
- Maintain the fixed asset subledger and create new fixed asset records.
- Maintain and reconcile prepaid expenses.
- Complete month-end and year-end accounting tasks.
Payroll

Prepare and process Canadian payroll through PowerPayPlus (Ceridian)

Calculate and submit RRSP and DPSP contributions.

Prepare and complete periodic and annual payroll reporting and government reconciliations, including WSIB, EHT, T4s, ROEs, taxable benefits, and other statutory compliance requirements.

Reconcile salaries and employee benefits to payroll reports in support of the annual financial audit.

Perform other duties and responsibilities as assigned.
Minimum Qualifications:
- Post-secondary education in Business Administration, Accounting, or a related field, or an equivalent combination of education and experience.
- Portfolio/evidence of previous design work

Experience processing Canadian payroll, including payroll reporting and statutory remittance requirements.

Experience with ERP/accounting systems and electronic payment platforms.

Proficiency in Microsoft Office applications, particularly Excel.

Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

Ability to work effectively under pressure.

Willingness to work overtime when required.
